    Making Your Letter Look Professional

    When you have an important business meeting that you have to send out to your customers, it is time to learn about some of the best ways to write a great formal letter. Many people have probably received an envelope that has been addressed to them with a date, a special address, and a phone number. They may have wondered how to address an envelope, what to write in it, and what to do with the envelope once they receive it. Here are some guidelines for addressing an envelope properly so that your customers will know who sent it to them.

    The rules are the same no matter what method you use for addressing a letter. These basic rules are the same no matter if you hand write the letters by hand, print them on labels, or address them electronically through an internet form. The top right corner of the envelope should always be in writing. The envelope should be addressed to the receiver.

    If you want to be more formal, you can begin your address with a lower case r. followed by the name of the person you are writing to. For instance, a letter would be written to Mr. Roger W. Smith. A longer name following a lower case r could be “Mr. Roger Smith”. The bottom of your envelope should also be in proper formal English. This would be “To Mr. Roger Smith”.

    The next thing you need to remember about addressing is that you must enter the city where you live into the box where you enter the recipient’s name. All other parts of an envelope are ignored and the only part that matters is the city. It doesn’t matter if you use the entire city or just part of it. The zip code should also be entered into the box. The zip code is the four or seven digit code found on the back of all official forms and bills.

    Formal addressing is usually done by a professional. If you can’t afford this service, there are many free online forms available. They may work, but they may also be incomplete. Free online addressing should only be used as a guide. It is important to get all the information right. If you make any mistakes in addresses, it will cause the receipt or the envelope to be returned.

    An envelope should have the name of the sender, date, and street number at the top left corner. The envelope should then have the name of recipient, date, and street number inside the upper left corner. The envelope should end with the full name of the sender and the words “Yours faithfully”. An envelope with nothing at the top left corner is called a “request for an Addressee” and cannot be returned.

    You should always make sure that your envelope is addressed correctly. You should not put your address on a piece of paper that already belongs to someone. You should also make sure that you have included all the correct information when mailing a letter. Always check to make sure you have typed in your post office box before you sign off.

    Finally, the top left corner of an envelope should always be written with the words “from” and not “to”. This means that the envelope should always start on the left and work to the right. Most mailboxes have different instructions on how to write a return envelope so make sure you follow them carefully. Also, make sure your envelope is addressed to a physical address and not an email address or fax number. Even though most people know what this means, some still get mixed up.
